Leads the employees of the Investment Administration department; oversees day-to-day investment administration work flow by delegating activities, assisting with problem resolution, and following-up on issues; coaches and mentors team members; sets defined goals and objectives for employees and conducts performance evaluations/reviews

Develops and establishes procedures consistent with industry best practices for the administration of an investment portfolio with an aggregate value of sixteen billion dollars, including data entry, trade settlement, pricing, reconciliation, reporting, etc.

Communicates procedural changes to team members and ensures effective implementation

Ensures an ongoing system of internal controls over investment administration activities and investment-related reporting reflects industry best practices and functions consistently and effectively

Works closely with the Vice-President, Tax and Investment Finance to implement new strategic priorities, process improvements and internal controls

Provides on-going guidance, training and support to administrators to ensure work is completed accurately and efficiently; leads by example; provides back-up support for other administrators; resolves complex and/or problem cases

Coordinates production of weekly, monthly, quarterly and year-end reports to the Board of Directors, senior management and other stakeholders; reviews all information to be submitted for accuracy; creates and maintains reports for portfolio managers and traders

Participates extensively on projects relating to the Investment Administration department such as system upgrades, launching of new portfolios and products, testing new software, development of reporting procedures manual(s), streamlining and automating processes to reduce human error

Acts as liaison with counterparts in Corporate Finance, Retail Finance, Information Systems, Corporate Audit as well as external auditors, custodians and brokers

Produces and audits performance measurement reports, investigates irregularities

Resolves trade settlement disagreements

Acts as chief liaison with the custodian bank and conducts ongoing assessment and review of the service level provided

Ensures all compliance requirements for maintaining trading accounts with brokers are completed and filed with brokers

Coordinates with stakeholders and prepares information required for the marketing of new and existing wealth management products

Provides ongoing support and exchange of information for maintaining relationships with business partners / fund managers

Assists the Chief Investment Officer and front office investments team in special projects, as directed by the Vice-President, Tax and Investment Finance

Participates in other Finance and Corporate initiatives, as directed

Skills / Knowledge / Education

Completion of a university degree with courses in investments, finance, accounting, economics and mathematics

8 years work experience in the insurance/financial services industry, with 5 years in a management role in investment administration

CPA designation and/or CFA designation and/or post-graduate degree are preferred

Canadian Securities course or equivalent

Knowledge of investment administration systems

Knowledge of accounting for investments, including derivatives, under International Financial Reporting Standards (IFRS)

Knowledge of word processing, spreadsheet, database, and presentation computer software

Ability to conduct research, investigate and analyze

Ability to lead/supervise others

Ability to plan strategically

Well-developed evaluation, problem resolution, and decision-making skills

Well-developed mathematical skills

Well-developed conflict resolution skills

May be required to work overtime from time-to-time to ensure daily requirements / assignments are satisfied
